You will get error of circular reference if you want to include the formula,but which you want to be constant for the row. That will give error result in excel calculation. You have clearly shows that the taken out item is the data entry and the total on the shelf for all the students planners remain the same. Why cannot you have a separate column for each planner. By yours column with and the total no in shelf, it will be easy to have one more column to have the balance of shelf balance and keep it hide, by right clicking and selecting HIde

You don't need an entire column for the number remaining. Try keeping it in one place, such as a cell near your total inventory. You can then use a formula like this to calculate the remaining stock: =C2 - SUM(C4:C26) If you must have exactly what you're asking for, you can add a conditional clause that checks whether the "Items out" value is filled: =IF(C4>0, C2 - SUM(C$4:C4), "") or also =IF(C4, SUM(-C2, C$4:C4), "") The "" text value will appear as a blank.
